Booking Conditions

CONDITIONS OF BOOKING HOLIDAYS & SHORT BREAKS  EVENTS  DAY TRIPS & EXCURSIONS
1. PROVISIONAL BOOKINGS
Provisional bookings can be held on option for a maximum period of
7 days from the date the booking was made. The required deposit or
full prepayment must be made within this period in order for the
booking to be confirmed. Provisional booking(s) may be cancelled
without notice if the required deposit or full prepayment is not
received after the 7 days option period has lapsed.
2. CONFIRMATION OF BOOKING
Confirmation of a booking will be issued to the client within 7 days of
receipt of the initial deposit or full prepayment. Clients are reminded
to check all details of your booking carefully to ensure everything is
in order. Please notify us of any alterations within 7 days of the
confirmation issue date after which time our conditions of booking
will apply.
3. OUTSTANDING BALANCES
Payment of all outstanding balances will become due no later than
42 days before the tour departure date. No reminders will be issued.
Failure to comply may result in the booking being cancelled without
notice and the loss of any deposit.
4. SHOULD YOU WISH TO CANCEL YOUR BOOKING
Cancellation of a confirmed booking must be made in writing to our
office and must be from the person who made the original booking.
As Reays Coaches Limited incur charges immediately a booking is
confirmed, a cancellation fee will be charged in line with the
following scale:

More than 42 days = Loss of deposit
28-42 days = 50%
Less than 28 days = 100%
Clients who have travel insurance may be able to reclaim the
cancellation fee is the reasons for cancellation falls within the terms
of their travel insurance policy.
5. SHOULD YOU WISH TO ALTER YOUR BOOKING
We will do our best to accommodate any alteration to a confirmed
booking you may wish to make (coach pick up point, etc) but
notification must be made by the client who made the original
booking in writing to our office at which point, where applicable, an
amended booking confirmation will be sent. As all tour arrangements
are finalised 7 days before the departure date, we cannot accept
any alterations within 7 days of the tour departure date.
6. SHOULD WE HAVE TO CANCEL YOUR BOOKING
Reays Coaches Limited reserves the right to cancel any tour where
there has been insufficient demand. This normally applies where
there are fewer than 20 full paying passengers. Should this occur,
clients will be contacted as soon as possible with an offer of an
alternative tour or a full refund of monies paid by the client. We
endeavour not to cancel any tour within 14 days of the departure
date unless for reasons beyond our control, for example a changes
to a show or event date, industrial disputes or adverse weather
conditions.
7. IF WE MAKE CHANGES TO YOUR BOOKING
Itineraries can be made many months in advance and sometimes
changes become necessary. Reays Coaches Limited reserves the
right to change any aspect of the tour including the advertised hotel
to that of a similar standard. Wherever possible, you will be notified
of any changes as quickly as possible.
8. OUR RESPONSIBILITY FOR THE TOUR
Reays Coaches Limited is a reputable company and accepts
responsibility for the standard of packages we provide and strive
hard to maintain these standards at all times. We, therefore, accept
responsibility for the acts or omissions of our employees, agents,
contractors and suppliers (limited to suppliers we have contracted to
supply to our clients). These assurances, however, remain subject
to the following qualifications (a) in the event of death, injury or
illness - see paragraph 9 below, (b) where travel is made by coach,
air, rail or sea carrier not owned by Reays Coaches Limited then
that suppliers conditions apply, which may exclude liability, (c) we
cannot be held responsible for loss of monies as a result of
abnormal events outside our control including, but not limited to, the
cancellation of an event, adverse weather conditions, traffic
congestion or diversions, technical faults, mechanical breakdown,
strikes, civil commotion, war, riot, industrial disputes, natural
disasters, terrorist activity (actual or threatened) or the closure of an
air or sea port. (d) Where the proposed itinerary routing may have to
be changed for whatever reason.
9. LOSS, INJURY OR ILLNESS
Reays Coaches Limited disclaims any responsibility for loss of or
damage to personal items throughout the duration of a tour. All
reasonable care has been given to ensure that our suppliers are
reputable and comply with local and national laws when supplying
their services. Should any member of your party suffer death, bodily
injury or illness arising from the proven negligence of our suppliers,
their sub-contractors, servants or agents, Reays Coaches Limited
accept responsibility providing they were acting within the scope or
in the course of their employment when the incident occurred.
10. TRAVEL DELAYS
Where a serious delay occurs, we will endeavour to provide suitable
refreshment and, if applicable, overnight accommodation. In the
event of mechanical breakdown of the coach or any other
transportation involved in the tour, we will attempt to locate an
alternative conveyance as quickly as possible. Please note any
replace vehicle may not be of a similar standard and such delays
may result in the necessary amendment to the original tour itinerary.
11. TRAVEL INSURANCE COVER
Due to a change in UK legislation we regret we are unable to offer
clients optional travel insurance cover against such claims as
cancellation by the client due to illness, etc. Reays Coaches Limited
recommends clients purchase suitable travel insurance cover from
an alternative source. Typical travel insurance cover includes
cancellation due to illness and loss or theft of baggage, etc.
12. GENERAL
(a) Bookings cannot be accepted where none of the party members
are under 18+ years of age. (b) Some tours may operate using a
vehicle without on-board WC facilities. (c) Feeder coaches may be
employed on both outward and inward journeys on some tours (d)
The lead client whose name appears on the booking confirmation is
solely responsible for the behaviour of all members of their party
throughout the tour (e) Alcohol must not be brought onto the coach.
Passengers in possession of alcohol must place those items in the
luggage area of the coach before embarkation. Those items must
remain in the luggage area until the completion of the journey.
Reays Coaches Limited reserve the right to refuse entry on to a
coach to anyone deemed to be in an intoxicated state. (f) If
applicable, event, show and flight tickets will be issued on-board the
coach and may be subject to additional conditions of sale. (g) Triple
and family bedrooms are subject to availability at the time of
booking. Triple and family bedrooms may include a folding z-bed
and so are only suitable for children up to the age of 12 years.
13. COMPLAINTS
Should you be dissatisfied with any part of the tour, we advise that
any such problems be notified to our representative immediately. If
the matter(s) cannot be resolved at the time then we ask that you
details your concerns in writing within 7 days of your return, giving
as much information as possible so that the matter can be dealt with
as soon as possible.
14. CLAIMS
Any claims made under these conditions of booking are subject to
English Law and all proceedings will be enacted within the exclusive
jurisdiction of the English Courts.
